emailAI Pro Rules System

The emailAI Pro rules system allows the entry of rules to be checked against when a new email is added to the email store in emailAI Pro

Rules are based on regular expressions allowing complete flexibility to use simple words and phrases or complex regular expressions to match incoming emails against.  If a match is positive the rule is processed otherwise it is skipped over and the next rule is checked in the order specified by the “Process Order” of the rules.

More than one rule can be applied to an email.

Actions Available

Normal Process

(Go through normal process) you might want to use this if you just want to white list / black list or log the entry

Validate

Validates the incoming email skipping the challenge and response and remaining spam checks.

Send To Spam

Sends the incoming email to spam

Delete (Send To Trash)

Sends the incoming email to trash

Hard Delete

Permanently deletes the incoming email

Send Copy To (Sends a copy to a selected local account)

Sends a copy to the local account specified

Reply With Auto Responder

Reply with a specified auto responder

Stop Processing

Stops processing of further rules for this email

Sub Options

If the white list or black list option is enabled with any of the actions the sender is white listed or black listed

If the log entry the entry is enabled the rule, if matched, creates a log entry.

The log entry contains the date and time the rule matched, who the email was from and who the email was to and the email ID.

Suggested Uses

Shift workers could automatically have emails routed to the correct worker based on the time an incoming email arrived.  For example the system could automatically send support email requests to the right person depending on the day and time of day.

When someone leaves for annual leave a rule could be added to redirect their email to someone else for the duration of when there on leave.

Rules could be used for monitoring personal emails.  Emails containing certain content can be copied to supervisors to alert that workers are sending and receiving personal emails on a company email account.

Use with the new terrorism laws (Australia) in which companies will be allowed to monitor emails for possible security issues.

Better spam protection by simply excluding emails containing certain words like “Viagra”, “Penis” and so on.

Automatic validation of emails with certain words or phrases in them similar to the key word system in emailAI Pro but allowing for greater flexibility using Regular Expressions.
