Managing Email Subscriptions, Newsgroups and Mail Listings

Overview

When receiving emails from Newsgroups or Mail Listings that have beed subscribed to the last thing you want is for people in them groups to have to receive / challenge / response requests from you.

emailAI Pro has a great system to handle these and it is by the use of Key Words.

Another powerful feature is creating Rules to automatically accept emails from news groups and or mailing lists.

The safest way is to check the IP address of the server where the email originates from and simply add that as a keyword. Finding the IP address is quite simple, after receiving the first email from the sender in question simply enter one of the Queue displays and press the email explorer button. You will see a summary on the route it took to get to your computer, add the IP address from the originating source to your keywords and then all emails from this sender will be automatically accepeted without a challenge / response.

Add your name as a keyword. Typically spam will never contain your real name or company name. If your name is part of your email address this will not work. Friends / Colleagures would typically address their email starting with your name.

Add your email signature as a keyword that way anyone replying to emails you send will be automatically accepted as long as they contained a copy of the email you sent them with your signature in it. Try to make your signature unique in some way, like "Steve Goodwin", and add that phrase as the keyword.

Generally look for something common in emails you receive and add them as keywords and you can be sure that most emails would be accepted while spam will be left out in the dark.

Remember you can use phrases as keywords, not just individual words.
