Attachment Storage

Overview

The attachment extraction feature has always been a great feature of emailAI Pro.  Attachment extraction extracts attachments from emails and saves them in a directory location chosen by the user under a sub directory of the email address the attachment was sent to.  The original attachment in the email is removed and replaced with a link to the actual file and folder.

While the attachment extraction feature has worked great emailAI Pro is extending it with a new feature called Attachment Storage and Retrieval System. The attachment extraction system is still available.

The attachment storage and removal system will remove attachments from incoming emails and store them in the actual database.  Attachments in emails take up twice the size as opposed to directly saved on the hard disk drive or stored directly in the database so instantly there is a harddisk drive space saving.

When an attachment is stored directly in the database you can access it through the emailAI Pro Console (Attachment Storage System) or the emailAI Pro Outlook Plugin (Attachment Storage System).

The attachment storage system allows the following features
  • Deletion of stored attachments
  • Shows who the attachment was from (email address)
  • Shows only the attachments that belong to the current account logged in unless logged in as admin and then all attachments are viewable
  • Allows saving of the attachment to the local hard disk drive
  • Allows direct opening of the attachment
  • Allows describing the attachment (adding of a description).  By default it becomes the subject of the email the attachment was received on
  • Allows categorising the attachment
  • Allows sorting by attachment description, category or who the attachment was from
  • Shows file extension of the attachment ie (.doc, .pdf, .docx) etc.

Because attachments are kept independent of emails it becomes a central deposit of attachments making them easily accessible in the future without having to rummage through emails trying to find the one that had the attachment you wanted.

The original attachment is replaced with the attachment ID of the stored attachment for easy retrieval by ID if remove attachment is enabled.
